A golden record is the single, best-available version of a customer's data, assembled from multiple source records using survivorship rules that decide which value wins.

Part of the Learn hub and the customer data glossary.

What it means in practice

The term comes from master data management (MDM). When several systems hold different values for the same customer, a golden record settles the conflict field by field. Survivorship rules pick the winner: the most recent value, the value from the most trusted source, the most complete value, or a rule specific to that field.

The rules should be explicit and ordered. A legal name verified at onboarding outranks one typed into a web form; a phone number confirmed in a recent authenticated session outranks one from a purchased list. Marketing-preference fields should come only from the consent store, never from whichever system wrote last.

"Golden" overstates certainty, so keep three safeguards. Store lineage per attribute: which source supplied the value and when. Keep the original source records, so a wrong merge can be undone and a corrected rule re-run. And treat accuracy as a continuing duty, since the GDPR accuracy principle (Article 5(1)(d)) expects personal data to be kept up to date.

A golden record need not be a physical table. Many platforms compute it as a view over linked source records.

Example (retail banking): a bank's golden record takes the legal name and address from the verified onboarding system, the mobile number from the latest authenticated app login, and marketing preferences only from the consent store. A conflicting address in a marketing database stays as a source record but never wins.

Frequently asked questions

What is the difference between a golden record and a single customer view?

A golden record is the resolved set of attribute values for one entity. A single customer view is the wider goal of seeing every account, product and interaction for one customer. The golden record is usually one ingredient.

Who decides the survivorship rules?

Data owners and stewards, with input from compliance. The rules are business and risk decisions, such as which system is authoritative for an address, so document and review them rather than accepting tool defaults.

Can a customer data platform replace MDM?

Partly. MDM focuses on governed master records with stewardship workflows; a customer data platform focuses on behavioural and profile data for activation. Many organisations run both.
